7 Steps to Travel Success: Online Booking Tool Adoption

SAP Concur Team |

Spending time and effort working on something, only for it to go unused or unnoticed, is frustrating.

If you’ve been following our 7 Steps to Travel Success webinar series, you’ve heard our top tips on negotiating with suppliers, duty of care and how to use data for more informed decisions.  But this is all in vain if your employees aren’t using the online booking tool you’ve put in place.

However, if they are, the benefits can be substantial – “We needed a solution that worked companywide and could integrate seamlessly. We now have an adoption rate of over 80%, compliance has improved, and we have saved over £400,000 on travel admin.” Ian Widdows, Systems Support Manager – EDF Energy

In our latest webinar, Ellen Trotochaud from SAP Concur, and Joanne Dobson from Carlson Wagonlit Travel, tackle the topic of driving adoption within your managed travel programme.

The four key areas discussed were:

  1. Mandate: Ensure your policy is well defined. Make it simple for your employees to know what is and isn’t within company travel policies and store the information somewhere that’s easy to find.

  1. Communication: You know the age old saying; communication is key. If you have new hires, or repeat offenders booking outside of policy, make sure there’s a process that clearly informs them of what they are doing wrong and how to rectify it.

  1. Content: Many employees book outside of corporate tools because they believe they can get a better deal elsewhere. You should review your content, and the rates you’ve negotiated with suppliers, to offer prices and options your employees will be happy to select.

  1. User Experience: Lastly, and probably most importantly, is user experience. If you have a system that is difficult to use, then chances are no one will use it.
